Is our clients' data safe, and do you comply with UK GDPR and AI governance rules?
Yes. We design to UK GDPR from the start and follow ICO guidance on handling personal data. Data is kept to the minimum needed, access is controlled and logged, and hosting keeps data in the UK or EU where required. We apply our own AI governance: qualified people approve every consequential action, every step is logged, and client data is used only for the work the client has agreed. A data-processing agreement is in place before any client data is used.
Will AI make decisions on our behalf?
No. AI prepares, checks and drafts. A member of your team approves anything that goes to a client, regulator or network operator, and the system records who approved what.
What happens if the AI makes a mistake? Who is responsible?
The AI is an assistant, not an authority. Qualified professionals remain responsible for every decision, interpretation and approval. Nothing is sent to a client, HMRC or a Distribution Network Operator (DNO) automatically. A person must review and approve each important action.
How much does it cost?
Accountant Agent is fixed fee: £31,500 excluding VAT for the full programme. The platform subscription starts at full operation, and the optional advisory retainer is £1,000 to £1,500 a month. Book a discovery call for a quote.
Which industries do you work with?
Accountancy practices and energy and utilities contractors today, with legal practices and GP surgeries next. Any business handling high volumes of clients, cases or forms is a good fit.
How do you guard against unchecked errors?
Our systems are built around three controls. Review gates mean nothing is sent or filed until a person approves it. Audit trails log every step, including the data used, the rules applied, and who signed off and when. Fixed rules, such as tax bands or the 16A grid limit, are built into the system rather than generated by the AI.
What are the risks of using AI for financial and compliance work, and how do you manage them?
The main risks are inaccurate analysis, data security breaches, and liability if AI output is accepted without review. We manage these by keeping a qualified person responsible for every decision, requiring approval before anything is sent or filed, and logging every step (see below).
How does this fit with professional guidance, such as the ICAEW's?
The ICAEW stresses that professional scepticism and judgement cannot be handed over to technology, and that accountability cannot be outsourced to software. Its Code of Ethics was updated in 2025 to cover technology competence and confidentiality. Our approach keeps qualified people in control, records each review step and keeps client data secure.
Do we need to replace our existing software?
Usually not. We build AI around the tools you already use, such as your inbox, document storage, accounting or job-management software, and connect them where needed.
How long does Accountant Agent take?
Accountant Agent takes about 22 to 23 weeks from signature to full operation. Scope, timeline and success measures are agreed in writing before work starts.
Can your projects be tailored to our forms and processes?
Yes. Accountant Agent and UK Compliance Engine are configured to each client's templates, checklists, approval rules and tone.
We're a small business. Is AI for us?
Yes. Our work is designed for SMEs, with fixed-fee stages, and each stage is signed off before the next one starts.
